1. Booking & Retainer fee

A non-refundable retainer of 25% of your total session is required at the time of booking to secure your date and time. This retainer covers administrative costs and preparation for your session. Your booking is not confirmed until this payment is received. The remaining balance is due no later than 7 days before your session.

2. Client Cancellations

I understand that circumstances can change unexpectedly. If you need to cancel:

• More than 48 hours before your session: The retainer will be forfeited and the remaining balance will be refunded.
• Less than 48 hours before you session: The retainer is forfeited, and an additional cancellation fee of £15 will apply to cover lost time and preparation.
• No-show or same-day cancellation: The full session fee will be charged, as I will have set aside this time exclusively for you.

3. Rescheduling policy

Life happens! I allow one complimentary reschedule, provided you give at least 48 hours notice.

• Rescheduling with less than 48 hours notice may incur a rescheduling fee, depending on circumstances.
• If you need to reschedule more than once, additional fees may apply.
• I will always do my best to accommodate your new date, subject to availability.

4. Photographer Cancellations

As a sole trader, my priority is always to fulfil every commitment. However, in rare cases of illness or emergency:

• I will notify you as soon as possible.
• You will be offered a full refund or the option to reschedule at no extra charge.
• If appropriate, I will help you find a trusted replacement photographer within my network.

5. Weather Conditions

For outdoor sessions, I closely monitor the weather. If adverse weather affects your shoot: 

• I will contact you ahead of time to discuss options.
• Sessions will be rescheduled at no extra cost.
• If you prefer to proceed despite poor weather, please understand that it may impact the final outcome of your photos.

6. Emergencies & Extenuating Circumstances

I believe in compassion and understanding. If an unavoidable emergency arises, please reach out to me as soon as possible. I will do my best to work with you to find a fair solution.

7. Agreement to Policy 

By booking a session with Nel B Photography, you acknowledge that you have read, understood, and agreed to this Booking Policy.
